Terms and Conditions

DEPOSITS

A non-refundable deposit per person is required within 14 days to secure a reservation.

Party Night only Monday – Thursday/Party Lunches	£6

FULL PAYMENT

Full Payment for meals and accommodation is required no later than 16th November. Statements will be forwarded in late October. Reservations made after 16th November must be accompanied by full payment.

Full Payment for Christmas Day Lunch and New Year’s Eve Dinner with accommodation is required no later than 1st December. Reservations made after this date must be accompanied by full payment.

Should payment not be received by the requested date then the company reserves the right to cancel the reservation with all monies paid forfeited.

CANCELLATION

In the event that a party member cancels the deposit paid is forfeited. For cancellations mad after 16th November NO refund will be given. We advise guests to arrange insurance to cover costs in the event of unforeseen circumstances. Choice Hotels Ltd has selected Group/Holiday plan insurance and leaflets are available upon request.

ROOMING LISTS

Rooming lists are required at the time of full payment. Additions after this time are subject to availability and must be paid for at the time of reservation. Payment will not be accepted on the actual party date.

SETTLEMENT

One method of payment only must be made by the party organiser. Individual payments for each person will not be accepted. Cash, credit card or cheque are accepted. For payment made after 16th November (or after 1st December for New Years Eve overnight stay or Christmas Day Lunch,) cheques will NOT be accepted. Please note that Company cheques are NOT accepted except with written prior arrangement with the Hotel Manager. Company cheques will NOT be accepted after 16th November, or after 1st December for New Years Eve overnight stay or Christmas Day Lunch.

SINGLE OCCUPANCY

At the Cliffs and Claremont Hotels rooms for single occupancy are strictly limited and are sold only at the discretion of the Hotel manager. A surcharge of £10 will be charged on Friday and Saturday evenings for single occupancy of a Twin, Double or Family room. No surcharge will be made on Monday – Thursday evenings. Should one person occupying a twin or double room cancel then the room will be subject to a single occupancy surcharge of £10. A supplement may be charged at weekends.

The Viking Hotel has a limited number of single rooms available. At the discretion of the management there will be no single occupancy charge on twin/double rooms for midweek nights. Should one person occupying a twin or double room cancel and true single accommodation is not available, then the room will be subject to a double occupancy charge.

FREE PLACES

Where available free places will be deducted from the final statement. Where numbers are reduced to below 20, then the free place will no longer apply. Free places are not available at the Viking Hotel.

ROOM ALLOCATION

Rooms are allocated on a first come first served basis. A number of twin/double/sea-view/non-sea view rooms where available will be allocated to each party.

Due to new smoking regulations in effect from the 1st July 2007, all Choice Hotels will be strictly non-smoking.

CREDIT BAR ACCOUNTS

Credit Bar accounts are not permitted without the prior written consent of the Hotel manager. Credit Bar accounts, when permitted, must be paid for in full on the night by Credit Card or Cash. Neither personal nor company cheques will be accepted as payment prior to or on the night. The hotel does not allow the consumption of alcohol that has not been purchased on the premises.

MENU REQUIREMENTS

Vegetarian meals must be ordered at the time of full payment. No alternative meals may be ordered on the party date.

Every effort is made to adhere to arrangement the Management reserves the right to alter any details within this Brochure without prior notice. A minimum number of persons are required for any function to take place. The management reserves the right to cancel a function and offer an alternative date. At the Cliffs and Claremont hotels parties of 6 or less may not be guaranteed a separate table. We regret that these events are not open to anyone under 18 years of age.
